Job Description

Phylagen is seeking an experienced Operations Specialist. This is a key position to deliver and streamline our global supply chain operations and act as a liaison to support logistics-related activities. This person will be responsible for the day-to-day operations of all domestic and international imports and exports of materials for vendors and customers. The Operations Specialist will focus on working with existing vendors (i.e. 3PLs and couriers) while finding new suppliers who can meet our needs efficiently as we grow. This position will have significant customer interface, with a focus on ensuring that our customers have a seamless fulfillment experience. We are looking for an all-around operations athlete who is willing to meet challenges head-on and who can grow quickly in a fast-paced organization.

Key Responsibilities

  • Lead logistics coordination and scaling. This includes scheduling and tracking inbound and outbound shipments globally and managing relationships with shipping vendors and customs brokers.

  • Be on the front-lines of customer supporting operations. This includes interfacing with customers to track and ensure successful delivery of sampling kits, fielding routine inquiries about the sample collection process and materials, and efficiently resolving customer tickets.

  • Manage Phylagen’s field operations service providers. This includes interfacing with vendors to ensure on-time delivery of materials and services, maintaining records of vendor activity and inventories, and forecasting future needs to ensure successful delivery of Phylagen’s product.

Qualifications

  • Minimum of a Bachelor's degree with 2+ years experience in production management, distribution planning, materials acquisition, or logistics management with high-volume international operations; or equivalent combination of education and related experience

  • Proficiency in Mandarin Chinese

  • Knowledge of import/export compliance elements (e.g. HTS Codes, Export Classification Commodity Numbers)

  • Strong interpersonal and customer-facing communications skills

  • Effective written communicator with demonstrated ability to produce documentation for internal and external users

  • Demonstrated ability to problem solve in a cross-functional and multi-cultural environment

  • Able to manage multiple projects simultaneously and prioritize tasks based on demand

  • Demonstrated experience with project planning and management

  • Advanced skills with Microsoft Office tools (Project, Excel and PowerPoint)

  • Able to adapt quickly to change

  • Open-minded, collaborative and team-oriented attitude
